Our Intake Process for new clients
At ABA Therapy Services of Florida LLC, we believe that every child deserves an individualized, thoughtful start to their therapeutic journey. Our intake process is designed to ensure that each client receives services tailored to their unique strengths, needs, and family goals.1. Initial Contact and Information Gathering
Families begin by reaching out via phone, email, or our online contact form. Our administrative team collects preliminary information such as the child’s age, diagnosis, insurance details, and areas of concern. We will require a referral for ABA Therapy from your child's doctor as well as a Medical necessity letter. We then schedule an initial consultation to discuss how ABA therapy can best support your child.
2. Consultation and Enrollment
During this stage, a Board Certified Behavior Analyst (BCBA) meets with the family (virtually or in person) to explain the principles of ABA therapy, review expectations, and answer any questions. Required documents, such as consent forms, insurance authorizations, and intake questionnaires, are completed to begin the evaluation process.
3. Comprehensive Assessment
A BCBA conducts a detailed behavioral assessment using standardized tools such as the ABLLS-R, VB-MAPP, or FAST interviews, combined with direct observation. The purpose is to identify strengths, skill deficits, and the functions of problem behaviors. This data allows us to create a treatment plan specifically designed for your child.
4. Treatment Plan Development and Authorization
Based on assessment results, the BCBA develops an individualized Behavior Intervention Plan (BIP) and treatment goals aligned with the family’s priorities. The plan is submitted to the funding source (insurance or private pay) for approval before therapy begins.
5. Therapy Team Assignment and Program Start
Once authorization is received, a dedicated therapy team, including a Registered Behavior Technician (RBT) supervised by a BCBA or a BCaBA is assigned to the client. Sessions begin in the home, school, or community, depending on the child’s needs. The BCBA provides ongoing supervision to the staff involved, data review, and parent training to ensure progress and consistency.
For RBTs
40-Hour RBT Training Course (Coming soon)
Provide the BACB-approved 40-hour training that covers all required content areas outlined in the RBT Task List (2nd Edition). This includes instruction on:

Measurement and data collection

Assessment basics

Skill acquisition and behavior-reduction procedures
-
Documentation and reporting
-
Professional conduct and ethics
Training may be delivered in-person or online, through lectures, videos, demonstrations, and guided practice activities.
2. Competency Assessment (Initial or Renewal)
Conduct the RBT Competency Assessment required by the BACB, ensuring the trainee demonstrates practical mastery of each task-list item.
Includes:-
Direct observation of skill performance

Role-play scenarios

Feedback and correction

Completion of BACB assessment documentation
For student BCBAs and BCaBAs
1. Individual or Group Supervision
Provides direct supervision to students enrolled in master’s or undergraduate programs in Applied Behavior Analysis who are pursuing BCBA or BCaBA certification.
Supervision sessions include:-
Case review and clinical discussion

Functional behavior analysis and data-driven decision-making
-
Ethical and professional supervision
-
Individualized feedback and progress monitoring
Sessions may be conducted in person or virtually, following BACB requirements for supervision ratios and documentation.
2. Case Review and Clinical Analysis
Supports students in developing their clinical skills by reviewing case studies, analyzing behavioral data, and designing intervention programs.
Includes:-
Review of Behavior Intervention Plans (BIPs)

Conducting and interpreting Functional Behavior Assessments (FBAs)

Evaluating program effectiveness and making data-based decisions

Practicing professional clinical report writing
3. Mentorship in Ethics and Professional Conduct
Fosters the ethical and professional development of future behavior analysts.
Supervision sessions address:-
Application of the BACB Ethics Code

Managing ethical dilemmas in practice
-
Professional boundaries, confidentiality, and client dignity

Effective communication with families, technicians, and interdisciplinary teams
4. Development of Applied Clinical Skills
Offers opportunities for hands-on practice under supervision, including:

Implementing teaching programs (DTT, NET, FCT)

Providing feedback and training to RBTs
-
Monitoring progress and adjusting interventions
-
Promoting generalization and maintenance across settings
5. Documentation and Supervision Hour Verification
Ensures that students meet all formal BACB supervision requirements, including:

Accurate tracking and verification of supervised hours
-
Reviewing and signing monthly supervision forms
-
Guiding students through the BACB certification application process
